    Overview

    We are seeking a highly proactive and resourceful Office Manager cum Executive Assistant who can confidently manage our Paseo office operations while supporting the leadership team. This role requires a problem-solver with strong organizational skills, the ability to remain calm under pressure, and the initiative to take ownership of challenges and drive improvements.

    Key Responsibilities:

    • Oversee day-to-day operations of the Paseo office, ensuring smooth and efficient workflows.
    • Proactively identify and resolve operational issues (e.g., facility concerns, vendor delays, logistical challenges).
    • Track and manage the company's Intellectual Property filings, Business Permit, and ensure deadlines are met.
    • Handle negotiations and liaise with suppliers, service providers, and other stakeholders.
    • Provide Executive Assistant support to senior leadership, including scheduling, travel coordination, and meeting preparation.
    • Develop and implement preventive measures to avoid recurring issues and enhance operational efficiency.
    • Ensure high levels of professionalism, responsiveness, and attention to detail in all aspects of the role.
    • Support the HR Representative in performing general HR and admin functions, including, but not limited to, cascade of company announcements/information, maintaining an updated company directory, implementation of safety and HR policies, conduct of employee interviews, and basic orientation
    • Support the HR Representative in coordinating employee engagement initiatives, particularly the preparation and coordination of anniversary tokens for South employees. This includes liaising with suppliers for items, coordinating deliveries, and validating employees' contact numbers and addresses.
    • Additional tasks or responsibilities may be assigned from time to time to support team, departmental, or company needs. Flexibility, adaptability, and a proactive mindset are expected in taking on new challenges as they arise.

    Qualifications & Skills:

    • At least 5 years of work experience in a similar capacity with verifiable references.
    • Proven experience in office management, operations, and project management, ensuring initiatives are executed efficiently from planning to completion.
    • Strong problem-solving skills with the ability to think ahead, anticipate challenges, and implement effective solutions.
    • Excellent organizational and time management abilities, with strong attention to detail and efficiency in tracking tasks, timelines, and deliverables.
    • Demonstrated ability to drive process improvement initiatives and enhance operational efficiency.
    • Strong interpersonal and communication skills, with confidence to interact with various stakeholders.
    • Demonstrated initiative, a strong "can-do" attitude, and an ownership mindset, someone who embraces challenges as opportunities to learn, improve processes, and deliver better results, while upholding service excellence for both internal and external stakeholders.
    • Preferably experienced in handling legal or administrative processes such as Intellectual Property and Business Permit filings.
    • Experience with volunteer work or working in an NGO is a plus.
    • Strongly believes in the company's advocacy and goals.
    • Willing to work in Paseo de Santa Rosa, Sta. Rosa, Laguna.

    Work Allocation

    • 50% Office Management
    • 30% Ongoing responsibilities (including IP filings)
    • 20% Executive Assistant duties
