Role Overview:
The Recruitment Coordinator (Verification Specialist) is primarily responsible for conducting thorough background checks on potential hires to validate the accuracy of application information. This includes verifying employment history, education credentials, criminal records, credit factors (if applicable), and other relevant data points.
This role requires strong investigative skills, analytical thinking, high attention to detail, and the ability to independently verify and assess information with accuracy and integrity.
Key Responsibilities:
Background Investigation
Conduct comprehensive background checks to verify candidate-provided information.
- Validate employment history, educational background, and other declared credentials.
- Investigate potential discrepancies, conflicts of interest, criminal records, or misreported details.
Escalate and document any inconsistencies or red flags identified during the process.
Information Gathering & Verification
Collect and analyze relevant information about individuals or businesses.
- Contact previous employers, references, and other relevant parties to confirm details.
- Access publicly available databases (law enforcement records, court records, credit databases where applicable).
- Review social media platforms and online sources for additional verification.
Ensure all findings are properly documented and supported by credible sources.
Interviews & Clarifications
Conduct verification calls and interviews with references, employers, and other relevant
- contacts.
- Follow up on inconsistencies or conflicting information discovered during investigations.
When necessary, directly communicate with applicants to clarify findings.
Reporting & Documentation
Prepare detailed background investigation reports for hiring managers and decision-makers.
- Clearly summarize findings, risks, and verified information.
- Highlight any discrepancies, compliance concerns, or red flags.
- Ensure reports are accurate, objective, and supported by proper documentation.
- Maintain confidentiality and data privacy compliance at all times.
Additional Responsibilities
Market Research & Pricing Estimates
Provide salary benchmarks and competitor research within 2 hours upon request.
- Utilize platforms such as Glassdoor, LinkedIn, PayScale, JobStreet, and AI tools (e.g., Gemini).
Maintain and regularly update the internal market research database.
CV Branding & Formatting
Rebrand and format CVs according to client standards within 24 hours of request.
Ensure proper documentation, formatting consistency, and uploading to ATS systems.
Social Media Posting & Management
Post job advertisements weekly using pre-approved templates.
- Manage and respond to Facebook inquiries across official company pages.
Use standardized responses and properly route applicants to the appropriate channels.
Job Postings & ATS Support
Post job openings across multiple platforms including LinkedIn, JobStreet, JobAdder,
- Facebook Groups, and others upon recruiter request.
Assist in JobAdder job order creation and updates as needed.
Client Interview Support
Coordinate and assist with client interviews (candidate preparation, technical checks, scheduling, documentation).
Share interview notes and key insights with recruiters in a timely manner.
Ad Hoc Support
Provide administrative and operational support to recruiters and team leads as required. Assist in special projects, reporting tasks, and process improvements.
Skills & Qualifications
- Bachelor's Degree holder (Psychology, HR, Business, or related field preferred).
- Minimum of 1 year experience in background investigation or related verification role.
- Open to training and cross-skilling in recruitment-related tasks.
- High attention to detail and strong analytical mindset.
- Strong communication skills (written and verbal).
- Team player with a proactive and accountable work ethic.
- Ability to handle confidential and sensitive information with discretion.
- Strong organizational and time management skills.
- Proficient in using ATS platforms and online research tools.
Work Location
- Hybrid Set-up
- Should have strong internet connection (minimum of 20 mbps)
- Should have own Laptop/PC (minimum of i5 8GB RAM)
