Job Description
Position Summary
The Purchasing and Inventory Clerk is responsible for managing the procurement of supplies, monitoring stock levels, maintaining accurate inventory records, and ensuring timely replenishment of goods. This role ensures cost efficiency, prevents stock shortages or overstocking, and supports smooth daily operations.
Key Responsibilities
Purchasing Duties
- Prepare and process purchase orders based on approved requests and par stock levels
- Source and coordinate with accredited suppliers
- Request quotations and compare prices to ensure cost-effectiveness
- Monitor delivery schedules and follow up on pending orders
- Verify delivered items against purchase orders and delivery receipts
- Coordinate with accounting for proper documentation and payment processing
Inventory Control
- Monitor stock levels of food, beverages, office supplies, and operating materials
- Conduct regular physical inventory (daily/weekly/monthly as required)
- Maintain accurate inventory records and stock cards
- Ensure proper storage and labeling of items (FIFO implementation)
- Report discrepancies, spoilage, or damages immediately
- Track usage and consumption trends
Documentation & Reporting
- Maintain updated supplier records and price lists
- Prepare inventory and purchasing reports for management
- Monitor slow-moving and fast-moving items
- Assist in cost control and variance analysis
Compliance & Coordination
- Ensure adherence to company purchasing policies
- Maintain confidentiality of pricing and supplier agreements
- Coordinate closely with kitchen, bar, dining, and management teams
Job Specifications
Education
- Bachelor's Degree in Business Administration, Supply Chain Management, Hospitality Management, or related field
(Associate degree or relevant experience may be accepted)
Experience
- At least 1–2 years of experience in purchasing, inventory, or warehouse operations
- Experience in restaurant, café, or hospitality industry is an advantage
Skills & Competencies
- Strong organizational and time management skills
- Knowledge of inventory systems and stock control procedures
- Basic accounting and cost control knowledge
- Proficient in Microsoft Excel or inventory management software
- Good negotiation and communication skills
- Detail-oriented and analytical
- High level of integrity and confidentiality
Other Requirements
- Ability to work flexible hours when inventory schedules require
- Physically able to lift and inspect deliveries
- Trustworthy and able to handle company resources responsibly
Job Type: Full-time
Pay: From Php505.00 per day
