    The Executive Assistant/VA serves as a vital support role within an organization, working directly with executives to provide administrative support, manage schedules, and facilitate communication. Acting as a primary point of contact, the EA enhances executive effectiveness by coordinating essential tasks, managing information flow, and contributing to strategic planning.

    Tuesday to Saturday | 12 AM to 9 AM Manila time

    Responsibilities
    • Schedule Management: Organize and manage executive's daily, weekly, and monthly calendars, including scheduling appointments, meetings, and travel arrangements.
    • Communication Coordination: Act as a liaison between the executive and internal/external stakeholders, managing correspondence and ensuring timely responses.
    • Document Preparation: Draft, edit, and format essential documents, including reports, memos, presentations, and proposals, ensuring accuracy and adherence to company standards.
    • Meeting Support: Prepare materials for meetings, take detailed minutes, and follow up on action items.
    • Project Coordination: Assist in coordinating various projects and initiatives, tracking progress, and providing updates.
    • Confidentiality Maintenance: Handle sensitive information with utmost discretion, maintaining confidentiality in accordance with company policy.
    • Administrative Support: Provide general administrative support, such as answering phones, managing office supplies, and assisting with special events.
    • Marketing & Sales Support: Assist in supporting all marketing/sales functions by sending emails, reviewing emails, reaching out to prospective clients while maintaining productive relationships.
    Qualifications
    • Bachelor's degree in business administration or related field.
    • Minimum of 3-5 years of experience in an administrative or executive support role.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
    • Excellent verbal and written communication abilities.
    • Strong ability to multi-task, prioritize, and manage time effectively.
    • Ability to build relationships with various stakeholders, both internally and externally.
    • Attention to detail, flexibility, adaptability, integrity, and a proactive approach to problem-solving.
    • Previous experience supporting C-level executives, familiarity with project management tools, and industry-specific certifications.
