    Job Purpose

    The Supply Chain Specialist supports the coordination and execution of purchasing and supply chain activities to ensure timely procurement, delivery, and availability of goods and services. The role focuses on operational execution, supplier coordination, inventory support, and documentation while ensuring compliance with company policies, regulatory requirements, and applicable legislation.

    Major Accountabilities

    Purchasing & Supply Coordination

    • Support demand forecasting and ordering of goods; monitor delivery schedules to ensure timely receipt at the warehouse.
    • Coordinate with suppliers, brokers, and internal stakeholders to resolve issues related to purchase orders, shipments, and deliveries.
    • Assist in monitoring supplier performance in terms of delivery timeliness and completeness.

    Inventory & Stock Monitoring

    • Assist Sales and Marketing teams in monitoring inventory levels, including near-expiry and promotional stocks.
    • Support stock allocation, replenishment, and movement monitoring to minimize stock-outs and expiries.
    • Participate in inventory reconciliation and variance investigation.

    Finance & Billing Support

    • Process requests for payment related to suppliers and external customers.
    • Provide inventory-related data and documentation to support the Finance team in billing, reconciliation, and reporting.
    • Ensure accuracy of purchasing and inventory records in the accounting or ERP system.

    Logistics & Regulatory Support

    • Coordinate with supply chain planners, and brokers regarding shipment status, documentation, and delivery concerns.
    • Assist in the preparation of documents for Bureau of Customs renewals, importation, and stock destruction, as required.
    • Support semi-annual stock inventory counts and stock destruction activities.

    Reporting & Documentation

    • Prepare and submit required operational and inventory reports.
    • Maintain accurate and organized supply chain documentation to support audits, inspections, and internal reviews.
    • Support compliance with pharmaceutical regulatory and quality standards.

    Contract & Service Support

    • Assist in administering broker contracts, including monitoring delivery, receipt, damages, insurance, and warranty-related concerns.
    • Escalate service or compliance issues to the immediate supervisor for resolution.

    Qualifications and Experience

    • Bachelor's degree in Accountancy, Business Studies, Administration, Management, or related field
    • 3 years of experience in Supply Chain, Logistics, or Purchasing, preferably within a pharmaceutical company
    • Experience in inventory management and coordination with Finance is an advantage
    • Proficiency in MS Excel and experience using accounting or ERP systems
    • Working knowledge of importation, customs, and warehouse processes
    • Strong coordination, documentation, and analytical skills
    • High attention to detail and compliance-oriented mindset
    • Willingness to work extended hours as required by business operations
    • CPA license and prior experience in Finance or Accounting are considered advantages but not required.
