- Serve as a point of contact for day-to-day client coordination, working closely with the Managing Director and Commercial Operations Manager.
- Manage and respond to client emails, messages, and requests in a timely and professional manner
- Provide regular client updates on progress, hiring status, onboarding milestones, or VA performance
- Proactively identify potential client or VA issues and escalate them with clear context and recommendations
- Support client onboarding and manage assigned client accounts post-onboarding
- Manage day-to-day VA performance, engagement, and accountability
- Conduct regular check-ins with VAs to monitor workload, performance, and well-being
- Identify training needs and performance gaps and support corrective actions and improvement plans
- Support recruitment-to-onboarding workflows in ClickUp, ensuring all stages are accurately tracked
- Conduct initial and/or client-facing interviews for shortlisted candidates
- Assess candidate suitability based on role requirements, communication skills, and client fit
- Coordinate interviews with clients, collect feedback, and communicate hiring updates between the recruitment specialist, clients, and leadership
- Manage business systems in Go High Level, as well as the backend tasks including optimisation, forms, pipelines, contact updates, workflows, and automations.
- Support VA onboarding and internal training coordination (tool access, SOPs, expectations)
- Maintain and update SOPs related to client management, onboarding, recruitment, and operations
- Manage client invoicing cycles, ensuring accurate and timely issuance of invoices and proper follow-up
- Track contract start dates, credits, retainers, and billing adjustments as required
- Ensure all tasks, updates, notes, and communications are properly logged in ClickUp
- Prepare internal reports, summaries, and updates for leadership as needed
- Ensure all client-facing systems are user-friendly, branded, and regularly updated.
- Monitor operational workflows and proactively identify inefficiencies, risks, or gaps and implement preventative solutions.
- Support leadership by providing operational visibility, structured documentation, and status updates
- Proven experience as an Account Manager, Operations Manager, or similar role in a digital or service-based business.
- Intermediate to Advanced knowledge of Go High Level (GHL) and ClickUp.
- Strong understanding of business operations, systems thinking, and automation workflows.
- Experience supporting offshore teams or virtual assistants.
- Experience with contract and invoice management and maintaining operational compliance.
- Excellent organisational and time-management skills with strong attention to detail.
- Ability to manage multiple clients and priorities simultaneously.
- Confident communicator with a proactive, solution-focused mindset.
