    The Export Manager is responsible for the execution and compliance of all international food exports, ensuring that products move smoothly across borders while fully meeting food safety, organic, and trade documentation requirements.

    This role owns export documentation, regulatory coordination, and customs readiness for global shipments, with particular focus on food safety systems, organic certifications, and accurate trade documentation. The Export Manager works closely with internal teams and external partners to ensure shipments are correct, compliant, and on time, minimizing delays, rejections, or compliance risk.

    International Export Execution

    • Manage day-to-day execution of global exports for food and agricultural products.
    • Prepare, review, and finalize all export documentation, including:
    • Commercial invoices
    • Packing lists
    • Certificates of Analysis (COAs)
    • Bills of lading / airway bills

    Export declarations (as applicable)

    • Coordinate with freight forwarders, customs brokers, and carriers to ensure smooth shipment movement.
    • Works closely with Ops team to ensure stock is allocated and that the Export
    • Documentation process may begin in advance for each shipment
    • Prepare all documentation in advance to avoid delays on order fulfillment for global customers

    Food Safety & Organic Compliance

    • Ensure all exports comply with applicable international food safety and quality systems.
    • Manage organic export documentation and certification requirements, including:
    • USDA NOP
    • Canada Organic Regime (COR)
    • EU Organic
    • TRACES / COI issuance and validation
    • Coordinate with certifying bodies, inspectors, and internal QA teams to ensure documentation is complete, accurate, and issued on time.
    • All types of Quality Assurance (especially food safety/organic) experience are welcome

    Trade Classification & Customs Accuracy

    • Maintain accurate HS code classification for all exported products.
    • Ensure correct declaration of product descriptions, country of origin, weights, values, and tariff treatment.
    • Support tariff, duty, and customs compliance efforts by ensuring documentation consistency across systems and filings.

    Cross-Functional Coordination

    • Work closely with:
    • Quality & QA to ensure COAs and food safety documentation align with shipment specs
    • Operations & Allocation to confirm shipment readiness and release status
    • Finance to align exports with payment and goods-release requirements
    • Sales to confirm customer-specific documentation or destination requirements
    • Communicate proactively to resolve documentation gaps before shipments reach cutoff.

    Risk Reduction & Continuous Improvement

    • Identify common causes of export delays, rejections, or holds and implement corrective actions.
    • Maintain up-to-date knowledge of destination-country food and organic import requirements.
    • Improve export SOPs, templates, and checklists to increase speed and accuracy over time.

    Qualifications & Experience

    • 4–7 years of experience in export operations, international trade, or logistics
    • Direct experience exporting food or agricultural products
    • Hands-on experience with international food safety systems and regulatory requirements
    • Strong working knowledge of organic export certifications (NOP, Canada, EU, TRACES)
    • Proven experience preparing commercial invoices, packing lists, COAs, and customs documentation
    • Familiarity with HS codes and tariff classifications

    Skills & Competencies

    • Highly detail-oriented with strong documentation accuracy
    • Strong understanding of global trade and customs processes
    • Ability to manage multiple shipments and deadlines simultaneously
    • Clear communicator with internal teams and external partners
    • Calm, methodical problem solver under time pressure
    • Comfortable working within imperfect systems while improving processes

    Measures of Success

    • On-time international shipments with minimal customs or regulatory delays
    • Zero or near-zero shipment rejections due to documentation errors
    • Accurate, consistent export documentation across all markets
    • Improved speed and predictability of export execution
    • Strong working relationships with certifiers, brokers, and forwarders
