    Billing and Collections Supervisor

    Job Summary

    The Billing and Collections Supervisor oversees the billing operations and accounts receivable (A/R) functions to ensure accurate invoicing, timely collections, and effective cash flow management. This role leads a small team, coordinates with internal departments, ensures compliance with policies, and supports financial reporting needs.

    Key Responsibilities

    Billing Operations

    • Manage and supervise the preparation, verification, and issuance of customer invoices and billing statements.
    • Review billing data for accuracy, completeness, and compliance with company policies and client agreements.
    • Ensure all billing transactions and adjustments are recorded in the finance system on time.

    Collections & Receivables

    • Monitor accounts receivable aging reports and strategically follow up on overdue accounts.
    • Communicate with clients or internal stakeholders to resolve billing discrepancies, disputes, and payment issues.
    • Implement effective collection strategies and escalation procedures to minimize outstanding receivables and bad debt.

    Team Leadership

    • Supervise, mentor, and coach the billing and collections team (e.g., Billing Associates, Collections Specialists).
    • Provide training on billing policies, process improvements, and customer service best practices.
    • Set performance expectations, conduct reviews, and escalate performance issues when necessary.

    Reporting & Analysis

    • Prepare and deliver regular reports on billing activity, collections performance, accounts aging, and key performance indicators (KPIs) to finance leadership.
    • Assist in month-end closing processes and reconciliations related to A/R.
    • Identify and recommend opportunities to improve billing accuracy, efficiency, and internal controls.

    Compliance & Coordination

    • Ensure billing and collections procedures comply with company policies and relevant accounting standards.
    • Coordinate with Sales, Operations, and Finance teams to address client billing issues and align processes.
    • Support internal and external audits as needed.

    Qualifications

    Education & Experience

    • Bachelor's degree in Accounting, Finance, Business Administration, or related field (preferred).
    • 3+ years of progressive experience in billing, accounts receivable, or collections, with at least 1–2 years in a supervisory or lead role.

    Skills & Competencies

    • Strong understanding of billing and collections processes, accounts receivable, and cash flow management.
    • Excellent analytical, problem-solving, and attention-to-detail skills.
    • Proficiency in Microsoft Excel and accounting software/ERP systems.
    • Effective leadership, communication, negotiation, and customer service abilities.
    • Ability to work under pressure and meet deadlines.
