    Job Description :

    Are you looking for an exciting opportunity to join a dynamic and growing team in a fast paced and challenging area

    As an Executive Assistant - Senior Analyst, Japanese/Mandarin Bilingual in our Business Support Management team, you will be experienced in handling a wide range of administrative and executive support-related tasks. You will work independently with little supervision, being a strong partner to the team that you support as well as the broader Admin group. You will be a highly resourceful professional team-player, comfortable working in a fast-paced environment while remaining flexible, proactive, and efficient. Your strong administrative, organizational skills, and the ability to maintain a realistic balance among multiple priorities will be key in this role.

    Job responsibilities:

    • Manage daily operations as assigned exhibit ownership in managing extremely active calendars of appointments
    • Effectively manage internal related activities such as meetings and communications with a high degree of professionalism, accuracy and confidentiality
    • Reconcile expenses processing invoices and Travel & Expense claims while adhering to guidelines and arrange multifaceted domestic and international travel
    • Communicate with management and resolve conflict through broad decision making
    • Communicate professionally with internal individuals at all levels of the organization verbally and through high quality, concise emails
    • Build and maintain strong relationships with key partners such as other administrative assistants while creating a collaborative environment
    • Update/edit Excel or PowerPoint presentations, as requested
    • Assist with internal ad hoc projects, as requested
    • Ensure time away is managed proactively and backup support is secured.
    • Provide backup support for executives, working closely with executives' assistants to ensure seamless coverage

    Required qualifications, skills, and capabilities:

    • 3+ years of administrative support experience with background in a client-facing role and/or multinational firm
    • Declared professional working and native level bilingual proficiencies in foreign languages (Japanese/ Mandarin language- professional to native levels can read and write in these languages)
    • Strong proficiency in Microsoft Office, PitchPro. Highly comfortable with learning and adapting to new technologies quickly
    • Effective interpersonal skills and excellent communication - confident, organized, and clear
    • Strong organizational skills and ability to work independently in a demanding, changing and fast paced environment, calm and effective under pressure
    • Service oriented and proven ability to develop strong internal client relationships
    • Commitment to customer service and ability to work in team-oriented environment tied to solid judgment, decision making and problem solving skills
    • Self-motivated, personal leadership, ability to be discrete, highly collaborative and team oriented
    • Ability to collaborate effectively with colleagues and team members, assisting with projects and tasks as needed
    • Ability to lead and influence without having positional authority

    This role will observe day shift to ensure proper coverage to countries supported in the APAC region
