    Position Summary

    The Client Services Officer will be responsible for managing incoming client inquiries via phone, email, or online. Providing clients with technical assistance on projects and services. Maintaining client records, and managing CRM software and investor portal.

    Essential Duties and Responsibilities

    The essential functions include, but are not limited to the following:

    • Acts as the first point of contact for all external incoming inquiries
    • Ensuring all client correspondence reassures clients that they have made the right decision to trust Walton as part of their overall financial planning. Quality control in areas such as verbal communication, electronic communication and written mailings to clients is an essential component of this position.
    • Monitor all incoming client inquiries via phone, email, corporate website and APP, to ensure all inquiries are handled in a timely and professional manner
    • Handle all administrative inquiries from clients, business partners, and stakeholders, such as change of beneficiary/ contact details requests
    • Provide information to clients, business partners, and stakeholders on standard processes and procedures related to the company's product and services
    • Direct project updates inquiries to the Investor Relations team
    • Manage and maintain client data on CRM and Investor Portal, including contact information, client's personal data, and investment records
    • Collaborate with internal teams such as tax, finance, and operations to ensure the integrity and accuracy of client and investment data
    • Overseeing the accurate distribution of client cheques, tax slips, updates and statement mailings.
    • Reviewing available technologies including voice recording technology, IVR, fax and mail merge to ensure staff are equipped with the best available systems.
    • Provide assistance to clients, business partners, and stakeholders in activating, logging into, and using the Investor Portal and APP
    • Work with the Operations team to prepare exit and distribution packages
    • Responsible for the accurate distribution of exit and distribution-related notices and communications to clients, business partners, and stakeholders
    • Work with the internal teams in North America and Asia to gather all documentation and data required for exit closing and distributions
    • Work with the Operations Team to perform UAT on system implementation as required
    • Ability to prevent and resolve conflicts as they arise between our organization, clients and account managers.
    • Training front line staff that are often new to the organization in terms of our products, services, heritage and philosophy.
    • Ensuring all contact with clients is recorded and monitored appropriately
    • Flexible to work outside of normal business hours when necessary.

    Minimum Qualifications (Knowledge, Skills, and Abilities)

    • Bachelor's degree in Finance, Economics or Business
    • 1-2 years' experience in client services, sales, financial services, or a similar role
    • Excellent written and verbal communication skills (Cantonese, Mandarin, Japanese will be an advantage)
    • Strong analytical skills with exceptional attention to detail
    • Must be proactive, detail-oriented, performance-driven, and a team player
    • Self-motivated with a desire for continuous learning
    • Proficiency in Microsoft Office Suite
