Tasks are as follows:
- Ensure understanding of user requirements by coordinating with various sections of ITD and departments of the client;
- Monitor, update and familiarize existing contracts and procurement requirements and across different project, budget and categories;
- Assist in identifying risk areas i.e. contract expiry, misinterpretation of user needs, impractical procurement timeframe, etc. and review these with internal stakeholders;
- Ensure vendor information details are kept up to date;
- Establish a system/mechanism or database to log and track the contract documents in an organized manner (Contracts Database);
- Liaise with relevant stakeholders to identify changes to the contract documents and update the Contracts Database accordingly;
- Ensure that the Contracts Database is updated for any changes or modifications to the contract documents;
- Provide support to relevant stakeholders in respect of compliance by counterparties with their commercial requirements under the contract documents (e.g. submission of performance securities, insurance securities, etc.);
- Assist in developing and generating procurement, contract, and vendor management related reports and dashboards;
- Assist managing and preparing monthly procurement, contract, and vendor management reports (i.e. Performance Evaluation Report (PER), Service Level Agreement (SLA), Contracts Monitoring, etc);
- Assist Staff in sourcing and in generating information that will support management decision making on related procurement, contract, and vendor management matters;
- Acts as a points of contact for assigned vendor accounts and provides vendor governance and reporting.
- Provide internal and external stakeholder management on all vendor and contract related matters.
- Ensures that all procurement, contract, and vendor management related records are updated and properly maintained into SharePoint;
- Provide support on Vendor Performance Evaluation (VPE) process and related activities;
- Engage in process improvement initiatives of the division for a more efficient and effective operations;
- Undertake analysis and validation of various documents, ensuring accuracy of input, circulating and tracking of signatures, distribution into various application systems of the client, maintaining and ensuring appropriate controls in the preparation of data;
- Provide efficient services and actions on event logistics, incoming telephone calls and emails, taking accurate messages, deals with queries from internal/external parties to ensure they are resolved or referred to in a timely manner to concerned staff.
- Prepare draft memoranda and internal correspondence in compliance with the client's standards;
- Provide back-up support for team members when appropriate and actively supporting group goals;
- Performs other duties as may be assigned by the immediate supervisor and/or unit head;
- Performs other duties as may be assigned and reflected in the incumbent's workplan.
COMPETENCIES:
Applicant must have the following qualifications:
- At least 5 years of relevant experience in procurement, vendor or contracts management
- Strong attention to detail and ability to follow defined process steps is required. Strong administrative background is preferred.
- Has experience reviewing and
- Ability to manage competing priorities on an ongoing basis.
- Ability to work independently on vendor and contract management tasks.
- Able to maintain confidentiality.
- Client oriented with ability to mediate and resolve conflicts; follows through client inquiries, requests, and complaints;
- Has strong work ethics and the ability to work well with individuals from different cultural/national background;
- Highly engaged and motivated and has problem solving mentality
- Has good time management skills;
- Possesses good communication, organizational, and interpersonal skills; and
- Proficient in the use of standard office programs including MS Word, MS Excel, and MS PowerPoint;
- Highly organized with the ability to prioritize workload and adjust to the needs of the service.
- Willing to adopt and learn new skills needed in the assigned role.
Job Type: Fixed term
Contract length: 12 months
Pay: Php100, Php160,000.00 per month
