- Collaborate with project managers and field technicians to understand the scope of work, budget, timeline, and expectations, communicating these effectively for scheduling.
- Assist in developing project plans, timelines, and budgets, overseeing resource allocation and scheduling to ensure timely project completion.
- Coordinate on-site visits between field technicians and clients while providing ongoing updates to adhere to client-established deadlines.
- Provide real-time status updates to customers, including milestones and task progress, and ensure field resources are prepared by confirming with assigned technicians.
- Manage databases, trackers, and documentation to maintain accurate project details, status updates, and financial records throughout the project lifecycle.
- Coordinate the purchase and delivery of necessary materials, ensuring accurate creation of purchase orders and adherence to purchasing policies.
- Serve as a point of escalation for vendors and clients, addressing operational issues promptly and escalating them to management when necessary.
- Ensure site completion deliverables are submitted within 2 hours of technician off-site time and update completed tickets with technician PO cost for invoicing within 24 hours.
- Build and maintain relationships with vendors and clients while consistently meeting established productivity levels and KPI goals.
- Maintain regular, consistent, and punctual attendance, being available to work nights and weekends as necessary. Perform other duties as assigned.\
- Bachelor's degree in Information Technology, Computer Science, or a related field preferred.
- 0-2 years of experience in IT project coordination, project management, or administrative support, demonstrating strong organizational and multitasking abilities.
- Basic understanding of IT infrastructure and ability to provide technical support; experience with project management tools and software (e.g., Outlook, Teams, Microsoft Office, Smartsheet) is an advantage.
- Excellent verbal and written communication skills for effective interaction with clients and team members.
- Ability to manage project documents, schedules, and resources efficiently while ensuring timely project execution.
- Meticulous attention to detail in handling administrative tasks, financial documents, and project requirements.
- Proven ability to work closely with team members, clients, and project managers.
- Capable of addressing challenges and adapting to changing project needs.
- Contribution to a productive work environment with flexibility and initiative in adapting to evolving project requirements.
