    Summary

    The Facilities and Admin Supervisor will be responsible for providing administrative support for day-to-day facilities and asset operations. This includes developing and maintaining databases for facilities inventory, condition assessments and scheduled maintenance. This role will also serve as the primary contact for asset management, preparing reports, and office equipment inventory and ensuring adequate supply levels. Additional duties may be assigned as needed.

    General Responsibilities:

    • Responsible for the overall organization and maintenance of the site
    • Provides general support for the site and ensures that all requests are addressed in accordance with company directives and policies
    • Work and coordinate with Procurement team on the Facilities and Admin requirement in sourcing 3rd party vendors
    • Work with Finance department to process invoices, make payments, track receipts and ensure that all vendor payments are released based on the agreed timeline
    • Proactively work with Operations and other support teams to identify and solve issues
    • Maintain efficient administrative/office workflow by analyzing work methods and making or recommending changes as necessary to streamline operations and/or cut costs
    • Create, prepare, and deliver reports to various departments
    • Receive and forward communications to different staff and departments
    • Consolidates utilities and consumption reports
    • Supports company day-to-day operational needs as requested by internal customers
    • Responds appropriately to emergencies or urgent issues as they arise
    • Act as a key contact during emergencies and ensure the safety and well-being of employees
    • Serve as a point of contact between different departments and senior management
    • Acts as second in command to the manager
    • Coaches and mentors develop and motivate team members and take corrective action when needed. Fairly appraises staff performance against set performance standards.
    • Performs other related task assigned by the Facilities and Administration Manager

    Facilities Coordination

    • Coordinates with Property Management on the building issues, permits and other facilities-related matters
    • Coordinates with Property Management services on office equipment, upkeeping services and physical security
    • Maintain the 52-week Preventive Planned Maintenance (PPM) and ensure the timely execution of scheduled activities given by the Property Management
    • Conduct daily shift rounds and spot checks on the premises, report findings in a timely manner, and immediately notify the concerned department
    • Implement weekly meetings with Property Management to address daily concerns and ensure team alignment.
