    The Accounts and Administration Assistant is responsible for delivering highly accurate, timely, and reliable data processing to support the organisation's Accounts Payable, Accounts Receivable, and internal reporting functions.
    This role provides essential administrative and documentation support across the business and plays a key part in ensuring smooth financial and operational workflows.
    The post holder will work with structured datasets, financial documentation, and internal systems, with a strong focus on precision, consistency, and meeting required processing timeframes. They will demonstrate a high level of attention to detail, strong organisational skills, and a commitment to error‑free output in repetitive tasks.

    What You'll Do
    You'll be the kind of person who:

    Accounts Payable (AP)
    • Enter supplier invoices accurately into the system, ensuring all data is correct and consistently formatted.
    • Verify invoice details, including amounts, dates, references, supplier information, and supporting
      documents as required.
    • Ensure the integrity of AP data by identifying discrepancies early and escalating issues when required.
    • Align with the orderly digital filing system for AP documents, ensuring all records are complete, accessible,
      and audit‑ready.
    Accounts Receivable (AR)
    • Enter customer invoices in line with established practices (billing schedules and contractual requirements
      as required).
    • Maintain clean, traceable, and well‑organised AR data and digital records.
    • Prepare and update monthly spreadsheets for two key customers [Swift and Wilmar] ensuring all
      documentation is complete and delivered within required timeframes.
    • Support the reconciliation of outstanding invoices by ensuring data accuracy and assisting with queries
      where appropriate.
    Reporting
    • Complete monthly data entry into the head office reporting system, following set timelines and accuracy standards.
    • Support annual data entry updates for company objectives and other recurring reporting cycles.
    • Ensure all reporting‑related information e.g. goal-related records, is entered accurately, on time and stored correctly for ease of reference.
    • Assist with internal checks as required to confirm the completeness and accuracy of data submitted for reporting purposes.
    Administration, and General Responsibilities
    • Provide general administrative support to the broader admin team and smooth operational workflows.

    General Responsibilities
    • Maintain professionalism and responsiveness in all internal and external communications as part of remote admin support.
    • Participate fully in structured training for AP, AR, and administrative processes to ensure competence and confidence in the role.
    • Follow clear step‑by‑step procedures and use provided documentation to maintain accuracy and consistency.
    • Seek guidance proactively and utilise ongoing support from management whenever clarification is needed.
    • Once competent, contribute to knowledge sharing and support other team members where appropriate.
    • Support the delivery of related administrative tasks where required, looking for and suggesting innovative ideas for streamlining / improving processes and procedures.
    • Trouble shooting and problem solving.
    • Monitor workflow, and email inbox volumes, organising emails and ensuring escalation to management where appropriate.
    • Delivery of excellent customer service over the phone, answering client queries and supporting other members of the team with queries as required.
    • Take part in broader training as required / as agreed in performance reviews, and support with the training / onboarding of team members.
    • Support with maintenance of department procedures, or resources as required.


    Requirements

    What You Bring
    We're looking for someone with:
    • Significant experience in a role with precise data input requirements, supporting successful outcomes for business and clients through the delivery of an accurate and efficient service.
    • Experience handling a high volume of tasks alongside email queries.
    • Demonstrable experience in general administration tasks, and with coordination of teams / workflow across operational areas.
    • Experience in a role managing tasks in a timely manner using priority management skills.
    • Able to demonstrate a high level of competence in Microsoft Packages, particularly Excel and Word skills.
    • Experience with accounting (AP/AR) or bookkeeping highly desirable.
    • Experience in using accounting programs, CRM, or data management systems is desirable (capacity to learn new programs and procedures is essential).
    • Experience within related industry desirable.
    • Experience in training others and suggesting / delivering improvements desirable.
    • High level of personal integrity - honest, responsible and respectful.
    • Committed to providing excellent customer service.
