- Respond promptly to inquiries from residents, applicants, and prospects via email, chat, and support platforms.
- Provide clear, professional, and empathetic communication at all times.
- Guide applicants through rental application requirements and documentation processes.
- Process and review rental applications accurately within defined SLAs.
- Ensure completeness and accuracy of applicant information prior to submission.
- Coordinate with internal teams to move applications efficiently through approval stages.
- Track and update case statuses in the property management system (PMS).
- Manage support tickets through centralized queues (CRM/helpdesk tools).
- Escalate complex or time-sensitive cases appropriately.
- Follow structured workflows and ensure tasks are completed within required timelines.
- Maintain accurate and updated records in the system of record.
- Perform quality checks on applications, approvals, and supporting documentation.
- Ensure compliance with company policies and property management standards.
- Work closely with Operations, Property Managers, and other internal stakeholders.
- Participate in process improvement initiatives to enhance efficiency.
- Support onboarding and knowledge-sharing efforts when needed.
- Meet performance metrics such as response time, processing time, accuracy rate, and SLA compliance.
- Provide updates on pending cases, escalations, and operational bottlenecks.
- Contribute feedback to improve overall service quality and workflow efficiency.
- Minimum of 2–3 years of experience in customer service, preferably within property management, real estate, or operations support.
- Strong written and verbal English communication skills.
- Excellent organizational skills with strong attention to detail.
- Experience using ticketing systems, CRM platforms, or property management software.
- Ability to manage multiple tasks while meeting strict deadlines.
- Comfortable working in a fast-paced, SLA-driven environment.
- Strong sense of accountability and ownership.
- Experience supporting U.S.-based property management operations.
- Familiarity with rental application processing workflows.
- Background in documentation review, QA, or compliance support.
