    The Secretariat Officer position is responsible for designing and implementing Board programs, serving as the overall coordinator for Board committees and working groups, and coordinating activities in the SEC front office, such as preparing briefing notes for the President. The incumbent will report to the Assistant Secretary.

    Responsibilities:

  • Contribute to the planning, organization, and implementation of programs for the Board, such as the Board Orientation Program and the Board and Management Retreat; and coordinate the preparation of summaries of discussion of these programs.
  • Explore opportunities to improve Board programs and efficiency initiatives.
  • Review the administrative practices of Board committees and working groups, develop standard procedures for Committee meetings, and ensure that these procedures are followed. Act as the overall coordinator for the six Board committees.
  • Coordinate the preparation of briefing notes for the President by consolidating departmental inputs and prepare the initial draft.
  • Capture issues raised at the Board meetings, develop and administer a tracking system, and follow up on necessary actions.
  • Analyze data from a variety of sources to prepare background papers, presentation materials, and reports.
  • Conduct research on the administrative policies and procedures of other international financial institutions and develop links with key contacts within and outside the organization.
  • Conduct a periodic review of work processes and introduce efficiency measures as appropriate.
  • Manage knowledge activities and provide periodic reports.
  • Provide support on operational matters and other projects and initiatives assigned by the Secretary or Assistant Secretary.
  • Provide support to the management of events, including the organization of the Annual Meeting of the Board of Governors.
  • Qualifications:

    Relevant Experience & Requirements:

  • Bachelor's degree, preferably with advanced training
  • Minimum of 8 years of relevant professional experience
  • Excellent written and verbal communication skills in English
  • Excellent analytical and research skills
  • Proficient in MS Office applications, especially presentation software programs
  • Strong organizational skills and initiative with systematic follow-up
  • Working knowledge of ADB's policies and procedures
  • Strong interpersonal skills and ability to interface effectively and diplomatically with internal and external clients.
  • Ability to respond to client demands with a combination of tact and firmness. High level of professionalism. Ability to maintain composure under pressure.
  • Ability to work collaboratively within teams as constructive team member.
  • Sound judgement, and ability to work independently and make decisions as required.
