Executive Assistant


Job Summary:


The Executive Assistant provides comprehensive secretarial and personal assistance support to senior management. This role is responsible for managing schedules, handling administrative tasks, coordinating meetings, and ensuring smooth daily operations.



Key Responsibilities:


Secretarial & Administrative Support

  • Manage and organize daily calendars, appointments, and meetings
  • Send meeting invitations and ensure proper schedule coordination
  • Prepare meeting agendas, take minutes, and distribute summaries
  • Draft, review, and respond to emails and official correspondence
  • Prepare reports, memos, presentations, and documents
  • Maintain organized filing systems (digital and physical)
  • Handle incoming and outgoing communications
  • Monitor and manage office documentation and records

Personal Assistant Duties

  • Set reminders for meetings, deadlines, and important commitments
  • Track daily priorities and follow up on pending tasks
  • Coordinate business and personal appointments as required
  • Arrange travel bookings, accommodations, and itineraries
  • Assist in organizing meetings, events, and executive engagements
  • Handle confidential and sensitive information with discretion

Coordination & Follow-ups

  • Communicate with department heads regarding management directives
  • Monitor project timelines and ensure deadlines are met
  • Provide regular updates on pending approvals and action items
  • Support general administrative needs of the management team


Qualifications:

  • Bachelor's degree in Business Administration or related field
  • Proven experience as a Secretary, Personal Assistant, or Executive Assistant
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Detail-oriented and proactive
  • High level of professionalism and confidentiality
  • Proficient in Microsoft Office and related tools
