    Duties and Responsibilities

    • Provides secretarial and administrative support to Groups Heads/SLT Members
    • Calendar Management: Efficiently manage and organize the schedules of senior executives. Coordinate appointments, meetings, and conferences, taking into account various time zones and potential conflicts.
    • Travel Coordination: Arrange all travel arrangements for executives, including flights, accommodations, ground transportation, and necessary travel documentation. Ensure travel plans are well-prepared and seamless.
    • Communication Management: Handle incoming calls, emails, and correspondence on behalf of the executives. Screen, prioritize, and respond to messages promptly and professionally.
    • Meeting Preparation: Prepare meeting materials, agendas, and presentations. Coordinate with other participants to gather relevant information and ensure all necessary materials are available in advance. This includes preparing food and beverage needs during meetings.
    • Confidentiality: Maintain strict confidentiality on sensitive information and handle discreet matters with tact and professionalism.
    • Maintains strict confidentiality of all sensitive, personal, and business-critical information obtained in the course of work, in line with company policies, data privacy regulations, and security standards.
    • Handles discreet and sensitive matters with tact and professionalism, exercising sound judgment in what, how, and with whom information is shared.
    • Ensures secure handling, storage, and transmission of documents, records, and digital data, and immediately escalates any suspected breach or misuse of confidential information.
    • Demonstrates integrity and discretion in all interactions with internal and external stakeholders, consistently role‑modeling appropriate confidentiality practices.
    • Expense Management: Keep track of executive expenses, prepare expense reports, and ensure they are submitted and processed in a timely manner. Budget coordinator.
    • Relationship Building: Foster positive relationships with clients, partners, and other stakeholders on behalf of the executives. Represent the company with professionalism and courtesy.
    • Project Support: Assist with various projects, research, and tasks as directed by the executives.
    • Office Coordination: Collaborate with other administrative staff to ensure the office functions smoothly and efficiently. Order office supplies, coordinate office equipment maintenance, and manage office logistics.
    • Decision Support: Gather data and research information to aid executives in making
    • well-informed decision
    • Able to strictly observe/follow protocols or prescribed ways of working required for staff handling executives
    • Has integrity and can keep highly confidential, confidential, sensitive, and/or restricted information which he/she may dealt with while working for an executive
    • Should practice high professionalism and tact (no discussion of work tasks or experiences to others outside the team of the executive)
    • Perform ad hoc duties as required by the Executive and leadership team from time to time

    Qualifications

    • 5-8 years in secretarial work for senior management
    • Excellent knowledge of MS Office and GSuite productivity tools, preferably someone with experience in booking including flights, accommodations, ground transportation, and necessary travel documentation (Travel Insurance, PH travel tax).
    • Good communication skills both written and spoken
    • Ability to handle multiple priorities and deadlines
