    Job Overview:

    We are seeking a highly experienced HubSpot Systems Manager to own, optimize, and scale our HubSpot ecosystem. This role serves as the primary HubSpot Super Admin, responsible for CRM governance, data integrity, automation architecture, reporting accuracy, and cross-functional alignment across Sales, Marketing, Recruitment, and Operations.

    The ideal candidate is a hands-on systems expert with deep knowledge of HubSpot CRM architecture, workflows, automation, and reporting. This individual will ensure our CRM operates as a strategic growth engine—driving operational efficiency, visibility, and scalable processes across the organization.

    Key Responsibilities:

    1. System Administration & Governance

    • Serve as the primary Super Admin and system owner for HubSpot
    • Manage user roles, permissions, access controls, and seat optimization
    • Maintain CRM data structure, including properties, pipelines, lifecycle stages, and object relationships
    • Establish and enforce CRM governance standards and best practices
    • Ensure system security, compliance, and proper data hygiene protocols

    2. CRM Optimization & Automation

    • Design, build, and optimize workflows, sequences, automation, and lead routing
    • Own pipeline architecture across Marketing, Sales, and handoff to Service/Operations
    • Recommend, create, and manage custom objects, properties, scoring models, and field logic
    • Identify inefficiencies and reduce manual processes through intelligent automation
    • Monitor and enforce HubSpot hygiene standards (naming conventions, data accuracy, lifecycle alignment)
    • Continuously improve lifecycle management, segmentation, and cross-functional handoffs

    3. Reporting & Analytics

    • Build and maintain executive dashboards and operational reporting frameworks
    • Ensure reporting accuracy and data consistency across teams
    • Provide insights into pipeline health, lead velocity, conversion rates, and forecasting trends
    • Support leadership with actionable, data-driven recommendations
    • Audit CRM reporting regularly to ensure integrity and alignment with business KPIs

    4. Integrations & Technical Oversight

    • Manage integrations between HubSpot and third-party platforms (e.g., ATS, email marketing tools, Microsoft Teams, Zapier, and other operational systems)
    • Troubleshoot sync issues, automation failures, and data discrepancies
    • Partner with internal stakeholders and external vendors to enhance system performance
    • Evaluate new tools and recommend system improvements or architectural changes
    • Ensure seamless data flow across systems to maintain a single source of truth

    5. Training, Documentation & Enablement

    • Develop and maintain internal SOPs and documentation for HubSpot usage
    • Conduct onboarding and ongoing training sessions for users
    • Act as the internal HubSpot subject matter expert and escalation point
    • Provide structured support for complex system issues
    • Drive adoption, consistency, and effective platform usage across departments

    Qualifications:

    Required:

    • 5+ years of hands-on experience managing HubSpot as a Super Admin
    • Deep expertise in CRM architecture, workflows, automation logic, and reporting
    • Strong understanding of Sales and Marketing funnel management
    • Experience managing multi-team CRM environments
    • Proven ability to design scalable automation frameworks
    • Strong analytical skills with experience building dashboards and executive-level reporting
    • Experience managing integrations and troubleshooting API/data sync issues

    Preferred:

    • Experience supporting recruitment or ATS integrations
    • HubSpot certifications (Admin, Marketing Hub, Sales Hub, Operations Hub)
    • Experience in revenue operations, sales operations, or systems operations
