    The Document Specialist is responsible for capturing, updating, and organizing process documentation across multiple business areas. The role ensures clarity, consistency, and accessibility of standard operating procedures, workflow diagrams, and related materials to support efficient operations and cross-functional initiatives.

    Key Responsibilities

    • Create, revise, and maintain process documents, standard operating procedures, work instructions, and process maps.
    • Ensure documentation aligns with current practices, governance standards, and organizational templates.
    • Collaborate with process owners and stakeholders to capture requirements, validate content, and implement changes.
    • Organize information into a clear, searchable library with version control and change history.
    • Produce supporting materials such as flowcharts, checklists, and job aids to facilitate training and operations.
    • Support special projects by documenting business requirements, user stories, and end-to-end processes.
    • Assist with documentation governance, reviews, and audit readiness.

    Areas of Coverage (high-level, non-exhaustive)

    • Service Operations
    • Document end-to-end processes for retail and services operations, including pricing, promotions, and service-level activities.
    • Capture project-related initiatives and improvement programs (e.g., facilities, energy, and related initiatives) and their transition into standard procedures.
    • Non-Fuel Business Operations
    • Document operations for franchise-related activities, store operations, logistics, and inventory management.
    • Capture processes for retail networks, leasing workflows, and related administrative activities.
    • Document programs covering promotions, incentives, and revenue-related processes.
    • Card and Financial Services
    • Document routine processing for payment cards, both consumer and corporate.
    • Capture workflows for electronic value processes, credit facilities, approvals, and related program operations.
    • Document SME/enterprise programs and associated operational procedures.
    • Special Projects and Cross-Functional Initiatives
    • Create Business Requirements Documents (BRDs) and process documentation for cross-functional initiatives (e.g., customer management, enterprise resource planning enhancements, and system integrations).
    • Support documentation needs for new systems, tools, or process improvements across departments.

    Qualifications

    • Proven experience in process documentation, knowledge management, or technical writing.
    • Strong ability to translate complex processes into clear, concise docs with visuals (flowcharts, diagrams).
    • Familiarity with standard SOP templates, version control, and document governance.
    • Excellent collaboration, listening, and stakeholder management skills.
    • Ability to work on multiple projects with competing priorities and meet deadlines.
    • Attention to detail and strong organizational skills.
