What is your mission?


We are looking for an Administrative Assistant to handle phone calls, manage inboxes, schedule appointments, prepare documents, maintain filing systems, and support daily office operations. You will organize correspondence, manage expense reports, conduct vendor research, handle travel bookings, maintain office policies, and assist senior leaders with administrative requests.

You will provide the best service to our partner brands by performing these tasks:

  • Answer and direct phone calls and manage inbox communications.
  • Organize schedules, appointments, and task documentation.
  • Prepare and distribute emails, memos, letters, faxes, and forms.
  • Assist in preparing scheduled reports and maintain filing systems.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists and book travel arrangements.
  • Submit and reconcile expense reports.
  • Liaise with executive and senior administrative assistants for requests from senior managers.

Who are we looking for?

  • High school diploma; additional qualification as an Administrative Assistant or Secretary is a plus.
  • 2–3 years proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Knowledge of office management systems, procedures, and office equipment such as printers and fax machines.
  • Proficient in Google Docs/Sheets and experienced with Asana or other project management software.
  • Excellent time management, attention to detail, and problem‑solving skills.
  • Strong written and verbal communication skills.
  • Highly organized with the ability to multitask and maintain confidentiality.
