    Purpose

    To provide administrative support functions to Admin and Facilities and liaise lead the third party vendor for facilities services.

    Essential Duties

    Front Desk Task

    • Acts as the first point of contact for visitors and make sure that they are welcomed pleasantly and give them a good initial impression.
    • First point of contact to all external local phone calls, screen calls as necessary and take messages as required.
    • Receives all incoming letters and routes them to proper recipients as necessary.
    • Acts as the point person for scheduling and reservation of meeting rooms.
    • Assists Talent Acquisition Team in recruitment processes, especially ensuring that candidates are welcomed and being entertained promptly.
    • Ensure that no unauthorized person or visitor will enter office premises. Keep a log of incoming and outgoing visitors of the company.
    • Maintain the orderliness and professional image of the company's front desk area.

    Office Administration Task

    • Establish work instructions and procedures for Admin tasks and keep track of daily work of the admin staff / cleaners / messengers.
    • Ensure that office supplies and materials are well stocked and conduct proper and timely inventory of supplies.
    • Liaise with third party suppliers for office equipment and supplies (i.e. Drinking water, janitorial supplies, etc) and with external service providers for office maintenance and renovation.
    • Requisition of supplies as required.
    • Ensure that business related documents ( i.e Permits, Blueprints etc) are up to date and kept in a secured location.
    • Ensure that all employee Admin and Facilities request is properly coordinated to concerned team.
    • Monitor the cleanliness and orderliness of office spaces (i.e. board rooms, pantry, etc) and proactively escalate any issues to proper channels.
    • Work closely with the executive assistant in preparing for and hosting clients, guests and stakeholders.
    • Other tasks that may be assigned from time to time including projects.

    • Contribution to overall efficiencies of administrative tasks through continuous improvement initiatives

    Qualifications

    • Bachelor's Degree Holder of any course
    • Positive and professional demeanor
    • Good communications skills
    • Proactive and with high level of integrity
    • 1 - 2 years related working experience in Administrative Assistant role with relevant experience is preferred but not a requirement

    Skill Sets

    • Demonstrated attention to detail and customer focus.
    • Knowledge on general admin practices
    • Proficient in MS Office applications
    • Ability to complete functional tasks and set priorities.
    • Ability to respond with a sense of urgency.
    • Demonstrated verbal and written communication skills.
    • Maintain the security of confidential information and documents.
    • Demonstrate the ability to deliver output as required.
