    Position Title: Bookkeeping and Office Administrative Assistant
    Location:
    Remote (CST Timezone)

    Working Schedule: Monday - Friday, 07:00 AM to 04:00 PM (CST)

    Job Description:

    We are currently seeking a dedicated and organized Bookkeeping and Office Administrative Assistant to join our team. The successful candidate will play a vital role in ensuring the smooth operation of our office environment. The Bookkeeping and Office Administrative Assistant will be responsible for providing administrative support to various departments, managing office procedures, managing payables and receivables, and assisting with day-to-day operations.

    Responsibilities:

    • Manage accounts payable and receivable processes, including invoice processing, bill entry, verification of accuracy, and ensuring timely payments and collections.
    • Maintain accurate records of financial transactions and updated accounting databases.
    • Answer phone calls and respond to inquiries in a professional manner.
    • Assist with basic accounting tasks such as preparing inventory adjustments and supporting accounting with financial reports as requested.
    • Provide administrative support, including managing office emails and communications, and organizing meetings and appointments.
    • Maintain accurate records and databases, inputting and updating information as needed.

    Qualifications:

    • Proven experience in administrative support and accounting, preferably in a remote setting.
    • Experience with Accounting software such as Quickbooks, Sage, etc.
    • Familiarity with cloud-based platforms, particularly Job Nimbus, and (preferred, but not required).
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
    • Excellent communication skills, both written and verbal.
    • Strong organizational skills and attention to detail.
    • Ability to multitask and prioritize tasks in a fast-paced environment.
    • Maintain a professional demeanor and handle sensitive information with confidentiality and discretion.
    • Collaborative attitude and willingness to support colleagues and contribute to the overall success of the team.
    • Willingness to work US Central Time zone working hours Monday through Friday.
    • Experience with accounting software such as QuickBooks for at least 2 years is a must.

    Software Skills Required:

    • Quickbooks or similar Accounting software
    • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
