The HR and Admin Associate provides full administrative support within the organization. This position involves coordination with other areas in the department for the provision of assistance in various clerical tasks, such as maintaining accurate and up-to-date HR files, records, and documentation, updating internal databases, recruitment, orienting new employees, generating reports, assisting in daily office needs, and managing the companyâs general administrative activities.
RESPONSIBILITIES:
201 File Management
⢠Prepares, maintains and update 201 files (hard copies and digital copies)
⢠Updates the database for employee movements such as, but not limited to, regularization, change of employment classification, lateral transfer, temporary transfer, interim, promotion, reclassification, and demotion.
Employee Onboarding
â¢Â Creates 201 file
â¢Â Assists in the facilitation of the New Employee Orientation
â¢Â Monitors the submission of Companyâs Pre-employment Requirements.
â¢Â Coordinates and provides necessary office supplies and equipment to the newly hired employee.
Employee Relations and Engagement
⢠Performs administrative tasks to support company events and employee engagement activities.
⢠Prepares tardiness memos to sanction employees
⢠Creation of Memos and Letters
Timekeeping
⢠Maintaining and monitoring an accurate record of labor hours worked by each employee on each job site
⢠Reporting any timekeeping irregularities to the management
⢠Recording timekeeping data on spreadsheets and making sure that it was stored securely
Office Administration
â¢Â Ensures that office equipment is in the best condition.
â¢Â Coordinates with the Building Administrator regarding problems that may arise in the building and reports these immediately to the Management.
â¢Â Updates and maintains inventory of office supplies and equipments.
QUALIFICATIONS:
⢠Bachelorâs degree or at least 2 years in college in Psychology, Behavioral Science, Human Resource Management, or an equivalent degree.
⢠1 â 2 years' experience in a similar role.
⢠Strong inventory and supply management skills.
⢠Good in written and oral communication skills; ability to communicate with clarity when talking to the team, employees, and top management.
⢠Highly proficient in the use of MSWord, MSExcel, PowerPoint, and Google Suite.
⢠Highly organized with a keen attention to detail.
⢠Proactive and resourceful.
⢠Capable of working with minimal supervision.
