    PAYROLL TEAM LEAD

    Role Summary:

    The Payroll Team Leader heads a team of payroll officers who deliver Payroll services to the Alight business, which is of the highest quality, is legislatively compliant, and fulfills internal and external audit requirements.

    This includes providing responsive and professional service to internal and external stakeholders thru the defined service level agreements and statutory requirements.

    Job Description:

    • Overall responsibility is to ensure team success by implementing and monitoring individual and team objectives and targets while ensuring client satisfaction and that company policies and procedures are adhered to
    • Works with Operations Manager and Service Delivery Managers to ensure client service levels are met or exceeded
    • Monitors team performance and productivity, all areas of performance metrics, and identify opportunities for development to ensure that standards are met across the board
    • Receives and tracks to completion any escalated inquiries and accurately denotes such questions into the tracking system, determining the most effective method of resolution
    • Lead the resolution for escalated and complex issues raised by the client or internally by business partners

    Technical/Professional Expertise
    • Oversight and coordination of the day-to-day activities of the payroll department
    • Meeting taxation and other legislative and statutory obligations through ensuring effective processing and preparation of returns, related reports, forms, and other documentation as requested
    • Ensuring that payroll and associated systems provide timely and accurate management reports, both routine and ad hoc
    • Maintaining and leading the completion of key processes (e.g., FBT, salary packaging, end of the year, and audit processes)
    • Keeping up to date with legislative and award changes that may impact the operation of the payroll
    • Ensure all calendar activities and reporting requirements are met. Responsible for ensuring that service level agreement is met.
    • Acts as a single point of contact for general queries raised regarding country payroll administration (e.g., Issue resolution, audits).
    • Responsible for coordinating with Payroll SMEs for legal change management, business process changes management, and Document Management.
    • Supports teams in performing Root Cause Analysis (RCA) to escalated issues and generates an appropriate and effective solution to satisfy the client
    • Deals with highly complex Payroll cases that require an advanced level of expertise
    • Monitors, implements, and cascades legislation/process changes in Payroll processes to ensure accuracy and compliance
    • Performs review/validations for any SOC country payroll transactions processed by the Team.

    Leadership
    • Leading or participating in the review of payroll systems, software, and processes to improve efficiency, functionality, and flexibility
    • Analyzing data to identify areas of risk and trends designed to improve the management of the clients' payrolls
    • Conducts a regular meeting with Payroll SMEs to improve program performance, metrics, and profitability and discuss projects and company updates.
    • Staff administration, including holiday and sickness tracking. Monitoring of staff timesheets time in lieu and holidays.
    • Ensure that business control guidelines are followed and implemented by payroll officer/admin officer for their respective process area.
    • People management, i.e., Personal Business Commitment preparation, rating feedback, salary communication, training, etc.
    • Perform general administration approval, e.g., expenses, leave, system access, etc.
    • Plan and organize monthly activities for the team. This requires teaming/collaboration with other teams that impact payroll administration.
    • Client interface for any high-priority issues and or/ escalations of the Team.
    • Identify opportunity areas, design new processes, and implement new/improved solutions to improve results and increase productivity.
    • Educate and train team members for their process area and ensure a backup system is in place.
    • Reviews process documentation to ensure that all processes/activities performed by the Team are synced with the process's actual execution.

    Requirements

    • Bachelor's degree, preferably in Finance, Human Resources, Business, Economics, or any other related field.
    • Skilled in managing the full payroll function with at least five years of experience in a medium to large size organization.
    • At least three years supervisory or managerial role
    • Skilled in the evaluation and analyzing payroll activities and practice methods.
    • Practical application in computerized payroll systems, preferably SAP Knowledge and experience
    • Understand, interpret, and apply relevant awards/legislation.
    • Ability to take corrective action to ensure payroll information is accurately recorded.
    • Ability to maintain strict confidentiality.
    • Ability to coach and motivate team members.
    • Has an eye for process improvement. Able to simplify processes and implement changes on the team.

    Preferred Qualifications

    • Practical application in computerized payroll systems, preferably SAP Knowledge and experience.
