    Job Description

    Position Summary:

    As the Insurance Quote Coordinator, you will be an integral part of our insurance team. Your primary responsibility will be to support our client-facing operations through administrative excellence. You will prepare tailored insurance quotes, oversee the new business and renewal quoting processes, and handle various forms of client communications. The role demands a meticulous attention to detail, customer-centric mindset, and an unwavering commitment to professionalism. You will uphold our brand's ethos while proactively addressing client needs, managing schedules, and coordinating activities within the team.

    Responsibilities

    • Assist in the preparation of insurance quotes by meticulously inputting data into our proprietary quote system, generating options tailored for client presentations.
    • Manage both renewal and new business quoting, adhering to distinct but similar processes for each.
    • Utilize pre-defined email templates to respond promptly to incoming client and prospect communications, ensuring messages are clear, professional, and aligned with our brand.
    • Monitor email inboxes proactively, prioritizing and addressing matters that require immediate attention.
    • Follow our established quote process from initial intake to presentation preparation, ensuring that all necessary information is accurately captured and organized.
    • Coordinate and schedule calls and appointments for the producer/business owner, maintaining a well-organized calendar and timely notifications.

    Qualifications

    • At least 2 years of experience in a customer service or administrative role, ideally involving some form of data entry or internal coordination.
    • Proficiency in English, with standout written and verbal communication skills.
    • Familiarity with , Microsoft Teams, Outlook, or a willingness to learn.
    • Proven ability to adapt to changing requirements and to meticulously follow established processes.
    • A team player responsive to all team members.
    • Strong attention to detail, coupled with the integrity to admit and correct mistakes when they occur.
