    Senior Onboarding Specialist, be 100% YOU with MicroSourcing


    A Senior Onboarding Specialist is expected to:
    Ensure timely completion of weekly reporting, including payroll, KPI/Margin, onboarding, offboarding, and safety reporting.
    Meet monthly reporting deadlines for expiry, permanent placement, and client reporting.
    Handle compliance and auditing responsibilities.
    Maintain field staff compliance records and mobilization register through aftercare and ongoing auditing.
    Update transport, personal, and medical details to meet client compliance and coal legislative standards.
    Support the team with labor hire auditing and detailed auditing processes.
    Follow up on non-compliances directly with consultants and address any issues to remedy compliance.
    Uphold privacy standards in accordance with Stellar policies and procedures.
    Manage the timesheet inbox, field staff leave expectations, and the master payroll spreadsheet.

    Input ad hoc timesheet data, follow up on missing timesheets, verify accuracy, and ensure proper shift information and leave forms.

    Maintain and update Astute payroll profiles for field staff.
    Oversee the Astute onboarding process, distribute login information, and provide training materials to field staff.
    Coordinate field staff medicals, manage confidential medical results, and handle invoice management.
    Ensure qualification checks align with site and role requirements.
    Complete client inductions, Stellar inductions, and field staff onboarding in line with specified requirements.
    Arrange site accommodation based on Journey Management Plan, demonstrating an understanding of Stellar and client fatigue policies.
    Manage client timeframes and onboarding expectations.
    Distribute uniforms, crew allocation details, accommodation, and travel requirements per uniform request within specified timeframes.

    Maintain regular contact with both field staff new starters and clients throughout the onboarding process to ensure they are well-informed and prepared for their start.

    Manage accommodation bookings, addressing monthly changes, crew rotations, fatigue requirements, or accommodation issues directly with the camp.
    Handle the ordering of uniforms and personal protective equipment (PPE).
    Allocate invoices in Concur.
    Create and distribute on-hire agreements, letters of amendment, position descriptions, and supporting documents for both internal Stellar employees.
    Manage the mobilization and Adapt databases to ensure compliant record-keeping.

    What it takes to be part of our team:

    Proficient in Microsoft Excel and Word with a high level of expertise.
    Familiarity with Microsoft Outlook and a quick learner when it comes to other applications.
    2-3 years of experience as an Onboarding Specialist.
